Approach

How a search runs.

Five phases, written deliverables at every step, and one partner from kickoff to the 90-day check-in. Here is what you get, and what we need from you.

Five phases

What happens, what you get, what we need

  1. 01

    Define

    Weeks 1-2

Kickoff and 4-8 stakeholder interviews. We agree on what this leader must deliver before anyone calls a candidate.

    You get

    • Position brief
    • Success profile with 12-24 month outcomes
    • Compensation recommendation
    • Search strategy and target universe
    • Confidentiality and communications plan

    We need

Time with the decision-makers, a current org chart, and strategy context under NDA.

  2. 02

    Map

    Weeks 2-4

We build an original map of target companies and named leaders, by segment and geography. Then we test the profile against real people before outreach scales.

    You get

    • Original market map of target companies and named leaders
    • A view of the market by segment and geography
    • Calibration review of 3-5 profiles

    We need

One 60-minute calibration meeting to react to real profiles.

  3. 03

    Engage

    Weeks 3-8

Your partner takes the story to the market and interviews every candidate personally. You see what the market is saying, in writing, every week.

    You get

    • A partner interview with every candidate
    • A written update every Friday covering activity, market feedback, pipeline and issues
    • Early notice when the market pushes back on scope, location or pay

    We need

Feedback on every candidate within 48 hours.

  4. 04

    Present & assess

    Weeks 6-10

We present finalists we can defend in writing. Your panel interviews each one against the same scorecard.

    You get

    • A written assessment of each finalist
    • Structured interview guides and scorecards for your panel
    • References on and off the list, with the candidate's consent

    We need

Panel time on the calendar and decision rules agreed before finalists arrive.

  5. 05

    Close & integrate

    Weeks 10-14, plus 90 days

We run the offer through the start date, then stay close through the first 90 days.

    You get

    • Offer strategy and negotiation
    • Counteroffer and resignation management
    • Onboarding input for the hiring manager
    • Check-ins at 30, 60 and 90 days after the start date

    We need

Speed at the offer stage, because strong finalists have other options.

Structures

Retained or engaged

Retained search

You engage one firm for the full search, and the work moves in defined stages. It pays for deep research, a partner's time, and a process that can stay confidential from start to finish.

Best for Officer, GM and VP seats, and any search that has to stay confidential.

Engaged search

A modest upfront commitment starts the work, and it is credited against the final fee. The same partner runs it, with research scoped for speed.

Best for Director and VP seats where speed matters.

Fee structure, payment schedule and guarantee terms are in our engagement letter. We share them at the first meeting. Request terms.

Every engagement letter spells out

  • The partner who leads your search, by name
  • Scope, the seat and the success profile we agree on
  • Timeline and the deliverable at each phase
  • Fees and the payment schedule
  • Guarantee terms
  • Off-limits commitments
  • Confidentiality and how your information is handled

We disclose any potential conflict before you sign, and during the search if one comes up.

What's different

How we work

  • Independent

Greenbriar & Russell is not owned by a staffing group, holding company or investment fund. We answer to the client who hires us.

  • Partner-led

The partner who pitches your search runs it. There is no handoff once the engagement letter is signed.

  • Research before outreach

We map the market and test the profile before the first call. Outreach is aimed, not sprayed.

  • Technical fluency

We know BACnet from Modbus, design-build from plan-and-spec, and a performance contract from a service agreement. Candidates take the conversation seriously, and your partner can tell real depth from a polished resume.

  • References beyond the list

We talk to people who worked with each finalist, not only the names the candidate provides. Always with the candidate's consent.

  • Written deliverables

Brief, market map, Friday updates, finalist assessments. The thinking is on paper, so you can share it and hold us to it.

Plain terms

What we won't do

  • We won't present anyone who hasn't heard the full story, including the hard parts.
  • We won't recruit from your company while we work for you. Off-limits terms are agreed in writing before work starts.
  • We won't send resumes you didn't ask for.
  • We won't post a confidential search.
  • We won't let software decide who advances. People make every decision.
  • We won't ask candidates about pay history.

When a seat has to change quietly

Some searches can't be known until they're done. We run them under a written protocol agreed before the first call.

  1. NDA signed before any details are shared
  2. A code name for the search in every document and call
  3. No postings, anywhere
  4. Anonymous outreach until a candidate is qualified and interested
  5. A controlled reveal of your name, on your timing

FAQ

Questions we hear

How long does a retained search take?

Most are planned for 10-14 weeks from kickoff to an accepted offer. Seniority, location and confidentiality all move that number. If yours won't fit that window, we'll tell you on day one.

What is the difference between retained, engaged and contingency search?

In a retained search, you engage one firm for the full process, and the work moves in defined stages. An engaged search starts with a modest upfront commitment, credited against the final fee, and suits director and VP seats where speed matters. Contingency firms are paid only when a hire is made, and several firms may work the same role at once. We focus on retained and engaged search, so every search gets real research and a partner's time.

What do you need from us to start?

A signed engagement letter, time with the decision-makers in the first two weeks, a current org chart, and strategy context under NDA. That is enough to run kickoff and the stakeholder interviews. Send an inquiry and you will hear back within one business day.

How do you keep a replacement search confidential?

NDA first, then a code name for the search. Nothing is posted. Outreach stays anonymous until a candidate is qualified and interested, and your name is revealed only when you approve it.

Do you post jobs?

Never for a confidential search. For other searches, a posting is optional and never the main channel. The work runs on the market map and direct outreach to leaders who are not looking.

Will you recruit from our company?

Not while we work for you. Off-limits terms are agreed in writing before work starts, and they spell out which parts of your company are covered and for how long. There is nothing to guess about later.

What if the hire doesn't work out?

Guarantee terms are in the engagement letter, and we walk through them at the first meeting. The check-ins at 30, 60 and 90 days after the start date exist to catch problems early, while they can still be fixed.
